This policy explains how Apex Tai Chi handles personal information when you visit this website, contact us, subscribe, book or pay for a service, join the membership, or use member resources.
Information we collect
Depending on how you use Apex Tai Chi, this may include your name, email address, telephone number, booking and attendance details, membership status, payment references, correspondence, newsletter choices, and relevant health, mobility or accessibility information you choose to provide. Please provide only information relevant to safe participation.
Our services may also receive limited technical information such as your browser, device, IP address, requested pages, security events, and local theme or blog-heart preferences.
How and why we use information
We use information to respond to enquiries, manage bookings and membership access, process payments, deliver classes and resources, send necessary service messages, adapt teaching where appropriate, keep business and attendance records, protect our systems, and meet legal, accounting, insurance or safeguarding responsibilities.
Depending on the circumstances, our lawful basis may be contract, consent, legitimate interests, or legal obligation. We generally rely on explicit consent where relevant health information is provided.
Email and newsletter communications
Booking, payment, access-code and service messages are sent because they are needed to provide a requested service. We send marketing or newsletter emails only where permitted. You may unsubscribe using the link in an email or by contacting us. Unsubscribing from marketing does not stop necessary messages about an active booking or membership.
Payments
Stripe processes online payments and subscriptions. Apex Tai Chi does not receive or store complete card details. We retain limited payment and subscription identifiers needed to confirm payment, manage access and reconcile records.
Service providers
We do not sell or rent personal information. We use limited information with providers that help operate the service, which may include Netlify for the public website and forms, ChatGPT Sites and Cloudflare for Weekly Practice application hosting and storage, Stripe for payments, Google Workspace and Google Drive for communications and approved resources, and an email-newsletter provider where you subscribe. Professional advisers or authorities may receive information where legally required or necessary to protect someone’s safety or legal rights.
Some providers may process information outside the United Kingdom. Where required, appropriate UK data-protection safeguards apply.
Cookies and local storage
Essential security cookies may be used for protected services. The public website stores light/dark theme preferences, session-level article-view markers and your own blog-heart choices in your browser. Non-essential analytics or advertising technology will not be introduced without an appropriate choice mechanism where one is legally required.
How long information is kept
We keep information only as long as reasonably necessary. Unsuccessful enquiries are normally kept for no more than 12 months; newsletter information until you unsubscribe or request deletion; booking, programme and accounting records for up to six years where needed; and health or accessibility information only while reasonably required. Short-lived member access codes and sessions expire automatically. Records may be retained longer where law, insurance, safeguarding or a dispute requires it.
Security
We use reasonable technical and organisational safeguards, including restricted administration, encrypted connections, expiring access codes, protected server-side credentials and access-controlled resources. No online system can be guaranteed completely secure.
Your rights
Depending on the circumstances, you may ask for access, correction, deletion, restriction, objection or transfer of personal information, or withdraw consent. We may need to confirm your identity. You may also raise a concern with the UK Information Commissioner’s Office.
